Abstract
Avera Health has embarked on a systemwide electronic medical record (EMR) project. The vision is to create a systemwide electronic medical record for the inpatient, outpatient, clinic, and long term care settings. In order to accomplish a systemwide EMR, there needs to be a good deal of standardization of dictionaries, clinical documentation, and to some degree, standardized policies and procedures. Standardization of dictionaries and processes has created many challenges in a corporation the size of Avera. The communication and request for change process has been rather cumbersome for changes that need to be made to dictionaries and requests for programming code changes. My project entails developing a web tool to allow for easier documentation and reporting of requested changes. I not only wanted to develop an easy front end for users from the standards teams and change management team to document their changes, but I also wanted this to be tied to a database on the backend. My goals were to create a web tool that can be used to: • Assist the teams in requesting changes for dictionary items. • Communicate the request to the appropriate team members who are part of the dictionary maintenance process. • Log the changes once they are made and communicate to any other teams that may need to be aware of changes to the dictionaries or information system. • Track the types of requests as well as which team is making the request and the turnaround time from request to completion. My thought was that if the teams had an easy tool to document requests and changes, notify appropriate staff members, and track requests, it would be helpful to the overall success of the ongoing upkeep needs of standardization.
